Aman Group Global Privacy Notice for Job Applicants

Who does this Notice cover?

This document sets out the policy that Aman Group SARL and its affiliates in the Aman group of companies (ie. all companies whose shares are held or beneficially owned, in whole or in part, whether directly or indirectly, by Silverlink Resorts Ltd or any subsidiary thereof) (hereinafter, "Aman Group") have put in place, to protect personal data of Aman Group’s employment candidates.

What personal data does Aman Group collect about you, and how do we use it?

Aman Group controls what personal data is collected and how it is used, i.e. Aman Group is the data controller.

The personal data we collect from you helps us manage the recruitment and hiring process with you, conduct Aman Group’s businesses, and comply with Aman Group’s legal obligations.

We may collect and use the following categories of personal data about you (some or all may apply to you):

•    Names 
•    Resume/ CV
•    Application letters
•    Employment history
•    Education
•    Qualifications and skills 
•    Criminal history
•    References
•    Candidate assessment (incl, interview notes)
•    Personal and work contact information
•    Passport information (when we need proof of work eligibility for certain positions)
•    Travel related records in some cases when we hold face to face interviews
•    Background check results for senior roles

How long does Aman Group retain your personal data?

Aman Group will hold your application, interview notes and background check result including your personal data for up to 2 years after the end of the recruitment process, or shorter if mandated by local data privacy law or legislations. If you have not been hired, and for the duration of your employment. The periods for which your data is held after the end of employment are set out in the Data Retention Policy to ensure we comply with any contractual, legal, audit and other regulatory requirements, or any orders from competent courts or authorities, to provide employment reference.

Where does Aman Group obtain your personal data?

Much of the personal data we process is obtained from you, but we also obtain personal data about you in the course of the application process (for example, during interviews). Other data types may be obtained from third parties, including, for example, from recruitment agencies or companies performing background checks.

With whom does Aman Group share your personal data?

Your personal data may be shared within Aman Group where lawful to do so and for legitimate purposes. You can read more about our group companies in the Appendix.

Your personal data may be shared with recruitment consultants.

Aman Group takes appropriate steps to ensure that people who receive your data are bound to maintained confidentiality of the data.
As part of the recruiting background check process, you share your data with the US-based company Accurate which with your consent, will use your data for the background check

Does Aman Group transfer your personal data to countries outside the country in which you apply?

We may transfer your personal data to countries outside the country where you work, for example, when we or one of our service providers uses employees in other countries. When your data is shared in other countries we take appropriate measure to protect data in transit and at rest and comply with international data transfer requirements.

How is your personal data secured?

We maintain physical, electronic and operational safeguards to protect the confidentiality of your personal data, including security measures to protect against unlawful or unauthorised processing of personal data, and against the accidental loss of, or damage to, your personal data.
If your application for employment is successful and you commence employment with Aman Group your personal data may be retained consistent with Aman Group’s Privacy Notice for Employees.

If your applicant for employment is unsuccessful, we will generally keep your personal data beyond the end of the application process for the purposes of (i) contacting you for future job vacancies, (ii) to meet record keeping requirements, and (iii) for potential use in legal proceedings.

What are my rights under the applicable data protection laws?
